Privacy Statement

This statement explains what personal information All My Houses handles, why we need it, who helps us process it, and the choices available to you.

1. Scope and accountability

This Privacy Statement applies to the All My Houses website, account workspaces, credit purchases, personalized orders, support, and related communications. The legal entity operating All My Houses and identified on your receipt or invoice is responsible for personal information under its control.

Our Privacy Officer can be reached at jeff@jeffwebsites.com. We maintain policies and safeguards designed to comply with British Columbia’s Personal Information Protection Act and, where applicable, Canada’s Personal Information Protection and Electronic Documents Act.

2. Information we collect

Account and organization information

Name, email address, role, brokerage or organization, invitations, team membership, account preferences, and authentication or security records.

Order and recipient information

Client or family name, property address, possession date, listing URL, home photographs, engraving and personalization details, instructions, order status, and delivery information.

Purchase and transaction information

Credit packages, balances, redemptions, order totals, taxes, receipts, billing contact details, payment status, refunds, and dispute records. Our payment processor handles payment-card details; we do not store complete card numbers in the All My Houses application.

Technical and communication information

IP address, browser and device information, necessary cookies or session data, security and activity logs, pages or features used, and messages you send to us.

3. How we collect information

We collect personal information:

  • directly from you when you sign in, purchase, order, or contact us;
  • from your brokerage administrator or another authorized team member;
  • from service providers supporting payment, hosting, authentication, security, storage, production, and delivery; and
  • from a listing page or other source you ask us to use for an order.

4. Why we use information

We use personal information to:

  • create and secure accounts and organization workspaces;
  • process credit purchases and maintain an accurate credit ledger;
  • create artwork, manufacture, personalize, and deliver keepsakes;
  • communicate about proofs, orders, delivery, support, and security;
  • prevent fraud, misuse, and unauthorized access;
  • maintain, troubleshoot, and improve the Service;
  • meet accounting, tax, legal, and regulatory requirements; and
  • send optional marketing where permitted and provide an unsubscribe method.

5. Client information and photographs

Real estate professionals often submit information about a gift recipient rather than themselves. If you provide a client’s name, address, date, photograph, or other personal information, you are responsible for having authority to provide it and for giving any notice or obtaining any consent required by your professional duties or applicable law.

We use recipient information only for the requested order, delivery, customer support, recordkeeping, security, and closely related operational purposes. Do not submit information that is not needed to make or deliver the keepsake.

6. When we share information

We do not sell personal information. We may disclose limited information to:

  • payment processors for purchases, refunds, and fraud prevention;
  • hosting, database, authentication, file-storage, analytics, and security providers;
  • production partners who need order details and artwork to make the keepsake;
  • shipping or delivery providers and the intended recipient;
  • accountants, insurers, legal advisers, regulators, courts, or law enforcement where reasonably necessary or legally required; and
  • a successor in a proposed or completed business transaction, subject to appropriate confidentiality and lawful-use requirements.

Service providers are permitted to use information only for the services they provide to us or as otherwise required by law.

7. Processing outside your province or Canada

Some service providers may process or store information in another province or country. Personal information may therefore be accessible to courts, law enforcement, or national security authorities under the laws of that jurisdiction. We use contractual and organizational measures intended to protect information in our service providers’ care.

8. Retention and deletion

We keep personal information only as long as reasonably needed for the purposes described above, including account administration, fulfilment, warranty and support, security, dispute resolution, and tax or accounting obligations. Retention periods vary by record type.

When information is no longer required, we delete, anonymize, or securely destroy it, subject to technical backup cycles and legal holds. You may ask us to close an account or delete information, but we may retain records where permitted or required by law.

9. Safeguards

We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information. These may include role-based access, authenticated sessions, restricted service credentials, encrypted transmission, vendor controls, logging, backups, and incident-response procedures.

No method of storage or transmission is completely secure. Please use a trusted email account, protect sign-in links, and notify us promptly if you suspect unauthorized access.

10. Cookies and communications

We use cookies or similar technologies that are necessary for sign-in, security, preferences, and core site functions. If we introduce non-essential analytics or advertising technologies, we will provide the notice and choices required by applicable law.

Operational messages about accounts, orders, receipts, delivery, and security are part of the Service. You can unsubscribe from optional marketing using the link in the message or by contacting us.

11. Access, correction, and consent choices

Subject to applicable exceptions, you may ask to access or correct personal information we hold about you. You may also withdraw consent to optional uses, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent needed to provide the Service may prevent us from completing an order or maintaining an account.

12. Questions and complaints

Please contact our Privacy Officer first so we can understand and respond to your concern. If you are not satisfied, you may contact the Office of the Information and Privacy Commissioner for British Columbia. For matters governed by federal law, you may also contact the Office of the Privacy Commissioner of Canada.

13. Children

The Service is not directed to children and accounts are limited to adults. Do not submit personal information about a minor unless it is necessary for a lawful order and you have appropriate authority and consent.

14. Changes to this statement

We may update this Privacy Statement as our practices, providers, or legal obligations change. We will post the new date and provide additional notice or request consent where required for a material new use or disclosure.
